Privacy Policy

1. Who we are

SuryaQuote ("we", "us") provides solar quotation, proposal, billing and project-management software for solar EPC vendors in India at www.suryaquote.com. This policy explains how we handle personal data in line with the Digital Personal Data Protection Act, 2023 (DPDP Act) and the Information Technology Act, 2000 and its rules.

2. Data we collect

Vendor account data: name, email, phone, company name, address, GSTIN, logo, seal, bank/UPI details and team member logins.

Customer data entered by vendors: client name, phone, email, site address, GPS location, electricity bill details (consumer number, units, sanctioned load), photos, signatures and payment references.

Data you submit directly: job applications and resumes, cleaning bookings, calculator leads, investor and partner registrations, and support tickets.

Usage data: pages visited, device and browser information, proposal view events, and cookies/local storage needed for sign-in.

3. How we use data

To provide the service: size systems, generate quotations, proposals, invoices and reports, and enable e-signing and payments.

To read uploaded electricity bills using automated (AI) processing, solely to pre-fill quotation fields.

To send service messages by email or WhatsApp, such as booking confirmations, proposal-signed alerts and payment reminders.

To process subscription payments, prevent fraud and abuse, secure the platform, and comply with law.

To measure and improve our marketing, including the Meta Pixel on public pages.

4. Vendors and their customers

When a vendor enters its customers' details, the vendor decides why and how that data is used and is responsible for having a lawful basis and giving notice to those customers. SuryaQuote processes that data on the vendor's behalf only to provide the service. Each vendor's data is kept separate and is not visible to other vendors.

5. Sharing

We do not sell personal data. We share it only with service providers who help run SuryaQuote — cloud hosting and database, AI bill-reading, email delivery, WhatsApp messaging, payment processing (e.g. Razorpay) and analytics — under appropriate confidentiality obligations.

Marketplace features (Work Order Exchange, procurement, investor and carbon desks) share limited details only as described on those screens, e.g. contact details after an agreement is accepted.

We may disclose data where required by law, court order or government authority.

6. Storage and security

Data is stored with reputable cloud providers and may be processed outside India where permitted by law. We use encryption in transit, per-account access controls, tokenised proposal links, signed payment webhooks and restricted admin access. No system is completely secure, and we will notify affected users and authorities of personal data breaches as required by law.

7. Retention

We keep data while your account is active and as long as needed for the purposes above. Tax invoices and payment records are kept for the period required by GST and other laws. On account closure we delete or anonymise remaining data within a reasonable time unless the law requires us to keep it.

8. Your rights

Under the DPDP Act you may ask to access, correct, update or erase your personal data, withdraw consent, and nominate another person to exercise your rights. Customers of a vendor should normally contact that vendor first. You may also raise a grievance with us, and if unresolved, with the Data Protection Board of India.

9. Cookies

We use essential cookies and local storage to keep you signed in and remember settings, and marketing cookies (Meta Pixel) on public pages. You can block cookies in your browser, though some features may stop working.

10. Children

SuryaQuote is a business tool and is not meant for anyone under 18. We do not knowingly collect children's data.

11. Changes

We may update this policy from time to time. The latest version is always on this page with its date.
